Explain the entire interruption
Tell the supplier whether the tank is believed to have run out, whether service was otherwise turned off and which appliances normally use propane. Give them the date someone last knew the supply was functioning if known. A fireplace may be only one appliance affected by the interruption. Do not have a caretaker test multiple burners to identify the cause.
Arrange the person's access
Ask who needs to be present, what parts of the home the supplier needs to access and whether qualified appliance relights are included. Give the property manager the appointment instructions privately. Do not put gate codes in the owner binder. If a locked guest room contains another appliance, identify it before the visit so that any remaining restriction is clear.
Write the result as an action
A useful note reads “supplier restored supply and identified which appliances were checked; fireplace remains out of use pending its visit” if that is what happened. If the provider reports the fireplace ready and no issue remains, keep the service record. If gas is smelled, leave immediately and call the supplier or emergency services from a safe place.
