Compare the same visit on each offer

Ask each provider to identify the fireplace type and describe what a technician would check, what needs a different appointment and which materials or parts cost extra. A maintenance visit, a callout for a malfunction and replacement of an obsolete component are different services. Compare that scope to the service instructions for the actual fireplace model.

Read the calendar alongside the contract

Record when the visit must be scheduled, who initiates it and whether the provider can attend during the vacant months. If access is through a manager, decide who receives reports and who can authorize a separately priced repair. An automatic renewal can keep a plan active while the property's locked door prevents the visit itself.

Give each renewal a record

File the service report by appliance and date. If one item remains open, record the decision and contact for the follow-up rather than recording simply “annual plan paid.” When the next renewal notice arrives, compare what was actually delivered and what is planned for the next interval. Apply the provider's written terms and the manufacturer's current instructions.
