Make an inventory outside the app
Use the appliance name, room, controller type and any original setup paperwork. If there are several fireplaces, give each a distinct location name that an onsite person would recognise. A photograph of the front is useful for identifying the room, but omit Wi-Fi credentials, access codes and account credentials from shared maintenance notes.
Separate ownership from permission
The IntelliFire installation and user guide describes setup for its own compatible equipment. Follow instructions for the actual platform when changing associated users, an account owner or a home network. A caretaker can have permission to arrange an appointment without permission to operate a burner remotely. Document who should retain control, and arrange a secure manufacturer-supported handover where the old account holder is unavailable.
Leave a local operating path
The house file should point to the local owner instructions and the person to contact if the app is offline. Avoid remotely commanding ignition as a connectivity test in a vacant or unverified room. Ask the service provider how to demonstrate control with an authorized adult present and the appliance known to be ready for use. An app status screen is not a physical inspection.
