Identify the relevant property contact
Pelican Bay’s published community roles distinguish the Foundation, the voluntary Property Owners Association and the county Services Division. The county division covers municipal services such as water management and lighting. Those descriptions do not decide responsibility for your unit’s fireplace or a shared roof. Ask the applicable building or neighborhood manager which documents govern the component involved.
Describe where the observation begins and ends
Record whether the concern is visible inside your room, around the fireplace enclosure or in a shared area you are authorized to access. If another unit has a similar report, let the manager coordinate that information rather than treating it as proof of a shared defect. A room stain or odor alone cannot establish where a problem originates.
Plan access without promising control of shared property
Tell us which areas you can provide access to and which need a manager’s arrangement. A private unit appointment does not automatically include permission to reach the roof, a common enclosure or another unit. Ask the visit scope to state any access limitations and whether a later coordinated assessment may be needed.
- Provide the building name and unit as well as the street address.
- Name the contact who can arrange any required shared-area access.
- Ask who must receive the findings before repair approval.
Keep the recommendation specific to observed findings
Request a clear distinction between the equipment assessed, areas not accessed and work proposed. That record helps an owner and manager discuss responsibility without turning an incomplete visit into a building-wide conclusion. Do not authorize alteration of common or neighboring components on the strength of a request for service to your own unit.
